General Guidelines for the Use of the Bost Conference Center
- The primary purpose of the Bost Conference Center is to support educational programs and related activities.
- Division-sponsored activities may be scheduled up to one year before the activity date.
- Non-division activities may not be scheduled more than 6 months in advance.
- No activity may be committed earlier than 1 year in advance without the expressed approval of the MSU-ES Director. Recurring events may not be scheduled more than 3 months in advance without approval from the MSU-ES Director.
- When calling to make a reservation request, please be prepared to discuss event type, attendance, date and time, equipment needs, and BANNER number for set-up and equipment fees.
- The person calling to request the reservation should give the name of one contact person. This person will be the only person authorized to make decisions regarding the event and is responsible for arranging set-up needs with the building services coordinator. All set-up arrangements must be made at least 10 days before the event.
- If an event is after hours or on a weekend, the contact person is responsible for making arrangements for all building needs, including arranging times for doors to lock and unlock.
- Weekend events are subject to an after-hours fee for custodial work. The fee will be billed through MSU Custodial Services.
- Nothing is to be attached to any wall, podium, or floor. The use of nails, tape, glue, thumbtacks, or adhesive on the walls, floors or lecterns is strictly prohibited. No glitter, table sprinkles, or confetti is allowed. Special arrangement for decorations must be approved in advance, and all decorations and equipment must be removed from the building after the event.
- The user is responsible for any and all damages or extra cleaning caused by acts of the user or its agents, employees, patrons, and guests, whether accidental or intentional.
- During business hours, participants may park either in staff or commuter parking lots with a temporary permit. It is the user’s responsibility to know parking rules, contact MSU Parking Services, obtain temporary parking permits, and communicate parking rules to attendees. If an event will have more than 300 attendees during business hours, the user should make arrangements with MSU Parking Services for attendees to park at the coliseum and be shuttled to Bost.
- THE SMALL, TWO-HOUR PARKING LOT IN FRONT OF THE BOST CONFERENCE CENTER IS NOT FOR CONFERENCE ATTENDEES.
- MSU departments outside of the Division of Ag must use approved caterers or Aramark for events involving food.
- Non-MSU and student groups must use Aramark if food is served with events.
- When a Division of Ag organization is using an outside caterer, it is the user’s responsibility to arrange for the removal of all food and garbage. THIS INCLUDES BOXED LUNCHES. All debris should be placed in large plastic bags, tied, and placed in the dumpster behind the building. Extra bags are kept in the janitor’s closet located at the back of the coatroom. After the event, all surfaces dirtied by food or beverages should be cleaned, particularly the kitchen and tables. It is not the custodian’s responsibility to clean after food vendors.
- Student groups may use Bost only if the Colvard Student Union is not available. Scheduling of student groups must come through MSU Facilities Use. All registered student organizations must submit a student activity form. There is a 9:00 p.m. curfew for student groups using the Bost Conference Center. MSU faculty or staff must sign the student activity form and be present during after hours or weekend events sponsored by student groups.
- In keeping with the educational purpose of the center, social activities, such as fraternity or sorority dances, will generally not be approved.
- No food or beverages are allowed in the theater.
- If electrical cords are used for events, it is the user’s responsibility to cover or tape down all cords. Gaffer tape and cord covers are available if needed. It is the user’s responsibility to secure cords.
- In-house digital projectors are available for use in the theater and auditoriums. However, laptops are not available. Arrangements are to be made BEFORE the event to check for compatibility and instructions. User is responsible for operating the digital project including turning off the projector when finished. A $25 fee per day is charged to non-division groups for use of the projector.
- An $8 fee will be charged per table for skirting tables for non-division groups.
- Private businesses are allowed to exhibit when invited by and pertaining to an event. However, no selling or soliciting is allowed.
- When different organizations are sponsoring an event, the MSU Department that has reserved the Bost Conference Center must be listed first on any advertising.
- Users of the Bost Conference Center must abide by Bost policy and university regulations. Failure to do so may result in suspension from the use of the Bost Conference Center.
